The Brief
Lyceum New Zealand engaged Lime Events to support the end-to-end delivery of the 2025 International Congress, hosted in Aotearoa for the first time. Our role included working with a national committee of 10 members to manage the event planning and execution while ensuring the experience met international expectations.
Objectives
Deliver a culturally rich, welcoming experience for delegates
Manage registrations across multiple functions and optional tours
Implement translation services to accommodate multiple languages
Support a volunteer committee with limited event management experience
Ensure the event was financially viable given post-Covid budget challenges
Our Approach
Lime Events was involved from the early stages, providing strategic advice that helped secure New Zealand’s successful bid to host the 2025 Congress, with support from Tourism New Zealand.
Originally forecast to host 300 delegates, the event faced a downturn in numbers due to increased international travel costs post-Covid. We proactively revised the strategy, working with the committee to develop a new event budget and shift the programme to a more cost-effective venue. This approach not only preserved the quality of the event, but ensured it remained financially viable - ultimately resulting in a profitable outcome.
One of the most significant challenges was providing accessible and affordable translation services. Traditional on-site interpreters proved cost-prohibitive, so Lime Events researched and implemented a technology solution that provided multilingual translation at a fraction of the cost - a move that saved thousands and maintained the accessibility of the programme.
From pre-conference registrations through to gala dinners and sightseeing tours, we managed every detail while supporting the committee to ensure they remained in control and confident throughout the process.
